In Brief... Bi- or multi-lingual Secretary

 Brief Description:

Translates, writes and interprets foreign language documents in an office environment.

This type of Secretary can speak two or more languages fluently. They are able to read and write correctly in these languages. They translate letters and reports from one language to another. They take dictation and may also have to interpret at business meetings.

Apart from English, most Bi or Multi-Lingual Secretaries are fluent in French, German or Spanish. These are the most common languages in business today.

The responsibilities of this Secretary may sometimes involve making contact with and travelling to foreign companies as an assistant to a manager.

Bi or Multi-Lingual Secretaries are expected to have good communication skills, be diligent and efficient and to be able to work on their own initiative.

Personal Attributes: efficient, accurate, ability in another language, pleasant manner.

Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.

Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. 

»  

Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs. 

»  

Set up and maintain paper and electronic filing systems for records, correspondence, and other material. 

»  

Locate and attach appropriate files to incoming correspondence requiring replies. 

»  

Open, read, route, and distribute incoming mail and other material and answer routine letters. 

»  

Complete forms in accordance with company procedures. 

»  

Make copies of correspondence and other printed material. 

»  

Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions. 

»  

Compose, type, and distribute meeting notes, routine correspondence, and reports.
